Privacy Policy
This Privacy Policy explains how Fleet Cadence LLC (“we,” “us”) handles information in connection with the Fleet Cadence application and related services (the “Service”). Fleet Cadence is a workforce-operations tool for Amazon Delivery Service Partners (DSPs) and their employees.
Who controls your data. The Service is provided to delivery companies (each a “DSP”) for use by their staff. If you are an employee or contractor of a DSP, your employer decides what information is entered and how it is used - your employer is the controller of that information, and we process it on their behalf. Questions about your own records should go to your employer first.
1. Information we collect
- Account & identity: name, work email, role, and a hashed password. Optionally a phone number, profile photo, and employer-assigned identifiers (e.g. transporter or payroll IDs).
- Employment & scheduling: shifts, attendance, time-off, and clock-in/out records - including data synced from your employer’s payroll/HR system (ADP Workforce Now) when they connect it.
- Fleet & vehicle: vehicle assignments, inspection (DVIC) records, damage reports, and vehicle telematics/status pulled from fleet systems (e.g. Amazon Logistics, Rivian) when connected.
- Performance: delivery scorecards and driver-metric data your employer imports.
- Communications: in-app messages and any photos or files you attach.
- Device & notifications: push-notification subscription tokens (if you enable notifications) and, for enrolled shared/work devices, a device marker used to sign the device out nightly.
- Usage & logs: basic technical logs (timestamps, error details) needed to run and secure the Service. We do not use third-party advertising trackers.
2. How we use information
- To provide the Service - scheduling, dispatch, fleet and attendance tracking, messaging, and reports.
- To send operational notifications you or your employer enable (e.g. shift reminders, safety alerts).
- To keep the Service secure, diagnose problems, and prevent misuse.
- To comply with legal obligations.
We do not sell your personal information, and we do not use it for advertising.
3. How information is shared
We share information only as needed to run the Service:
- Within your DSP. Authorized staff at your employer (e.g. dispatchers, admins) can see the operational data their role permits. One DSP’s data is kept separate from another’s.
- Service providers / sub-processors. Named below. Each may process data only to provide their service to us, and none of them may use it for their own purposes.
- Legal & safety. When required by law, or to protect the rights, safety, and security of users, the public, or the Service.
- Business transfers. In connection with a merger, acquisition, or sale of assets, subject to this Policy.
3a. Who processes your data
These are the third parties that may handle information from the Service. Those marked only if connected receive nothing unless your employer turns that integration on.
| Provider | What it does | What it receives |
|---|---|---|
| Render | Hosting and database | Everything in the Service - it is where the Service runs. |
| Anthropic | AI features (the in-app assistant, photo checks) | Only what a request needs: the asking employee’s own records and general company info, or a vehicle photo being assessed. Not used to train their models. |
| Stripe | Billing | Your employer’s billing contact and invoice amounts. No driver records, and we never receive or store card numbers. |
| Object storage (Cloudflare R2, Amazon S3 or similar) | Storing vehicle and inspection photos | Photos and their identifiers. Only if configured - otherwise photos stay in the main database. |
| Amazon Logistics | Routes, scorecards, vehicle and inspection data | Read on your employer’s behalf using their own Amazon access. Only if connected. |
| ADP Workforce Now | Payroll and timekeeping | Clock-in/out and worked-hours records. Only if connected. |
| Rivian | Electric-vehicle status | Vehicle data. Only if connected. |
| Netradyne | Driver safety events and clips | Safety event data for drivers. Only if connected. |
| Slack | Notifications to staff | The content of notifications your employer enables. Only if connected. |
| Twilio | Text-message notifications | Phone number and message content. Only if connected. |
| Push services (Apple, Google, Mozilla) | Delivering push notifications | A device token and the notification text, if you enable notifications. |
We keep this list current. If a provider is added, the effective date above changes.
3b. Text messages (SMS)
Your employer may use the Service to send you operational text messages about your work - route and schedule information, dispatch instructions during the delivery day, station delays and closures, and links to internal forms you need to complete. Texts are sent through Twilio (see the table above) using the mobile number your employer holds for you.
- We do not share mobile numbers. Mobile phone numbers are never sold, rented, or shared with third parties for marketing purposes. They are disclosed only to the messaging provider that delivers the message on your employer’s behalf, and only for that purpose.
- Message frequency. Texting is off unless your employer switches it on, and then only for the channels or messages they choose. Frequency therefore varies with your employer’s operations - typically a small number of messages per week, and more on a day when the schedule changes.
- Message and data rates may apply. We do not charge you for texts; your mobile carrier’s standard message and data rates apply.
- Stopping texts. Reply STOP to any message to stop receiving texts from that number, or HELP for help. Opt-outs are handled by the carrier and take effect immediately. Stopping texts does not remove you from the Service or from your employer’s other ways of contacting you, and operational information will still be posted in the app - so tell your employer if you opt out, or you may miss something about your shift.
- No marketing. These messages are operational only. We do not send promotional or marketing texts, and neither we nor your employer may use this channel for third-party advertising.
4. Data retention, export and deletion
We retain information for as long as your employer maintains its account and as needed to provide the Service, resolve disputes, and meet legal obligations.
Your employer’s admins have tools in the Service to act on this directly:
- Export everything. A complete copy of their DSP’s records, as spreadsheets.
- Export one person’s records. Everything held about a single employee - what an access request needs.
- Erase a person. Name, email, phone, photo and payroll identifiers are removed and the account is closed. Employment records themselves are kept in de-identified form, because your employer has its own legal obligations to retain payroll, timekeeping and safety records.
When a DSP leaves, its data is exported for it and then permanently deleted from the Service.
5. Security
We use administrative and technical safeguards appropriate to the data, including encryption of sensitive credentials at rest, role-based access controls, and access over encrypted (HTTPS) connections. No method of storage or transmission is 100% secure, so we cannot guarantee absolute security.
6. Your choices & rights
- Access & correction: because your employer manages your records, contact your employer’s admin to review or correct your information.
- Notifications: you can disable push notifications in your device or browser settings.
- Text messages: reply STOP to any text to stop receiving them - see section 3b, including what that does and does not change.
- Regional rights: depending on where you live, you may have additional rights (access, deletion, portability). Your employer can fulfil these from within the Service - see section 4 - and we honor applicable requests made to us directly, coordinating with your employer as the data controller.
7. Children
The Service is a workplace tool intended for adults employed by a DSP. It is not directed to children and we do not knowingly collect information from anyone under 16.
8. Where data is processed
The Service is operated in the United States. If you access it from elsewhere, you understand your information is processed in the United States.
9. Changes to this Policy
We may update this Policy from time to time. Material changes will be reflected by updating the effective date above and, where appropriate, notifying users in the Service.
